Privacy Policy

Community Insurance Partners, Inc. (“CIP,” “we,” “us,” or “our”) respects your privacy. This Privacy
Policy explains how we collect, use, disclose, and protect personal information when you visit
cipmedicare.com, contact us, request insurance assistance, or work with one of our licensed agents.

  1. Information We Collect
Depending on how you interact with us, we may collect:
  • Contact information, such as your name, address, email address, telephone number, date of
birth, ZIP code, and state of residence.
  • Insurance and eligibility information, such as current coverage, Medicare eligibility or enrollment
information, plan preferences, household or income information when relevant, and information
needed to assist with an insurance application or enrollment.
  • Health-related information that you choose to provide and that is reasonably necessary to help
evaluate insurance options, such as medications, physicians, pharmacies, or health conditions
    relevant to coverage or underwriting.
  • Financial or payment information when needed for a particular insurance application or
    authorized transaction.
  • Communications with us, including emails, text messages, telephone communications,
appointment information, and agent notes related to your request or coverage.
  • Basic website and device information, such as IP address, browser or device type, pages
visited, and similar technical information collected through cookies or comparable technologies.
  1. Where We Get Information
We may receive personal information directly from you or your authorized representative, and from
sources involved in providing insurance services, such as insurance carriers, government or enrollment
systems, referrals, service providers, and Integrity Marketing Group or Integrity-affiliated platforms used
by CIP. CIP is independently owned and is not owned by Integrity.
  1. How We Use Information
We use personal information for legitimate insurance and business purposes, including to:
  • Respond to your questions and requests and schedule appointments.
  • Evaluate insurance eligibility and available plan or product options.
  • Assist with insurance applications, enrollments, renewals, and customer service.
  • Communicate with insurance carriers and other parties involved in a requested transaction.
  • Maintain records, improve our services, train and supervise our workforce, and protect our
    systems and business.
  • Comply with carrier requirements and applicable legal, regulatory, licensing, Medicare/CMS,
    and compliance obligations.
  1. When We Disclose Information
We may disclose personal information as reasonably necessary to provide requested insurance
services or operate our business. Recipients may include:
  • Insurance carriers and plans that we represent or with which we are assisting you.
  • Integrity and technology platforms or service providers that support our insurance, enrollment,
CRM, communications, compliance, or business operations.
  • Professional advisers, auditors, regulators, government agencies, or other parties when
disclosure is permitted or required by law.
  • Other parties at your direction or with your authorization.
CIP does not sell consumer contact information or health information to unrelated third parties for their
independent marketing purposes. We do not sell personal information in exchange for money.
In accordance with applicable CMS rules governing Third-Party Marketing Organizations (TPMOs), we
do not share personal beneficiary data collected for marketing or enrollment into a Medicare Advantage
or Part D plan with another TPMO unless the beneficiary has provided the required prior express
written consent through a clear one-to-one disclosure (or unless a permitted exception, such as a warm
    transfer with verbal consent, applies).
  1. Health and Insurance Information
Information collected in connection with insurance may be protected by federal or state insurance,
financial privacy, health privacy, or other laws. CIP safeguards such information and uses or discloses
it only for authorized business purposes and as permitted or required by applicable law.
CIP is not a HIPAA Covered Entity. However, when we handle protected health information (PHI) on
behalf of insurance carriers or health plans in connection with enrollment, eligibility, or servicing
activities, we act as a Business Associate. In those circumstances, we comply with applicable HIPAA
requirements, including the Security Rule, relevant Privacy Rule obligations under Business Associate
Agreements, the minimum-necessary standard, and breach-notification duties. Health-related
information you provide for insurance purposes may constitute PHI and is protected accordingly.
  1. Calls, Text Messages, and Email
CIP may communicate with you by telephone, email, or text message when you request information,
have an existing relationship with us, or when communication is otherwise permitted by law. Our
consumer text messages are generally direct person-to-person communications, not automated bulk
marketing messages. You may ask us to stop marketing texts by replying STOP or contacting us.
Standard message and data rates may apply. Service or transaction-related communications may
continue when necessary or legally required.
Where required by the Telephone Consumer Protection Act (TCPA) or other law, we obtain prior
express written consent before making autodialed or prerecorded marketing calls or sending marketing
text messages to a wireless telephone number. We maintain records of consent and honor opt-out
    requests promptly.
Where permitted by law and with any required notice or consent, calls or other communications may be
recorded or monitored for quality, training, documentation, or compliance purposes. Marketing, sales,
and enrollment calls related to Medicare Advantage or Part D plans are recorded and retained in
accordance with applicable CMS requirements (generally a minimum of six years).
  1. Cookies and Website Technologies
Our website may use cookies and similar technologies to operate the site, remember preferences,
understand website use, maintain security, and measure performance. Some features may be provided
by third-party service providers. You can use your browser settings to manage cookies, although
disabling them may affect website functionality. If you are a resident of a state with comprehensive
privacy laws that treat certain analytics or advertising technologies as a “sale” or “sharing” of personal
information, you may exercise available opt-out rights by contacting us as described in Section 9 or by
using any cookie-preference tools we make available.
  1. Information Security and Retention
We use reasonable administrative, technical, and physical safeguards designed to protect personal
information. No system can guarantee absolute security.
We retain information for as long as reasonably necessary to provide services, maintain appropriate
business records, comply with carrier and regulatory requirements, resolve disputes, and meet other
legal or legitimate business needs. Retention periods for Medicare-related records (including call
recordings of marketing, sales, and enrollment calls) are generally driven by CMS requirements
(commonly a minimum of six years for recordings) and applicable carrier contracts or state insurance
laws, which may require longer periods in some cases.
  1. Your Privacy Choices
Depending on your state of residence and the type of information involved, you may have rights to
request access to, correction of, or deletion of certain personal information, or to exercise other privacy
choices (such as opting out of certain sales or sharing of personal information, where applicable).
These rights may be subject to exceptions under insurance, Medicare/CMS, financial privacy, recordretention, or other laws. We may need to verify your identity before acting on a request.
Residents of states with comprehensive consumer privacy laws (including, where applicable, California,
Virginia, Colorado, Connecticut, Utah, Washington, and others) may have additional rights under those
laws. Certain rights may be limited by federal Medicare/CMS record-retention obligations, carrier
    requirements, or insurance-regulatory duties.
You may also contact us at any time to update your communication preferences. To submit a privacy
request or update preferences, please use the contact information in Section 13.
  1. Children’s Privacy
Our website is not directed to minors, and we do not knowingly collect personal information online
directly from minors except as permitted by law. Information about a dependent or minor may be
provided by a parent, guardian, or authorized person when needed for insurance coverage or related
services, and is used solely for those purposes.
  1. Third-Party Sites and Services
Our website may link to websites or platforms operated by insurance carriers, government agencies,
Integrity, or other third parties. Their privacy practices are governed by their own notices and policies.
  1. Changes to This Policy
We may update this Privacy Policy to reflect changes in our services, technology, legal requirements,
or privacy practices. The revised policy will be posted on cipmedicare.com with an updated effective
    date.
